The Define Traceability dialog box is used to add a new Traceability Field or edit an existing Traceability field's properties, including activating or de-activating the selected Traceability field and defining the list of Traceability items for each Traceability field. It is opened by selecting the Traceability branch, then the Add Traceability option from the right mouse menu or Traceability menu; or by selecting a specific Traceability Field in the Traceability branch, then the Edit Traceability option from the right mouse menu or Traceability menu.
When used to edit a Traceability Field, the User Name and Date of the last edit is shown at the bottom of the dialog box.
Note: Traceability Fields must exist in the database, and thus listed in the Traceability branch, before they can be assigned for data entry. Traceability Fields may be added through this dialog box, as well as through the data import process.
The following information is available:
Traceability Field Name: Enter a unique alphanumeric Traceability Field Name into the text box provided, up to 20 characters in length.
Note:
1. If the entered Traceability Field Name already exists in the database, then an Error message is provided when the OK button has been selected, and the user is returned to the Define Traceability dialog box.
2. The Assignable Cause and Corrective Action field names are not editable.
Maintain Traceability Items in Database: Select this option to show the active Traceability Items (as shown in the list box in this dialog box) in the Data Entry list box, so that users may select one of the items from the drop down list.
Note: If there are a large number of active Traceability Items for a particular Traceability Field, then the database response may become slow. De-selecting this option may improve this performance.
Active Status: Select this option to make the Traceability Field status Active so that Traceability codes may be assigned to subgroups in the Data Form .
List Items: A list of all the Traceability codes associated with this Traceability Field. Select a Field Code from the list before using the Edit button.
Choose one of the following options:
Add: Select this button to open the Traceability List Item dialog box for adding a new Traceability item for this Traceability field. Traceability items may be up to 20 characters in length.
Edit: Select this button to open the Traceability List Item dialog box for changing the selected Traceability Item for this Traceability field. Traceability Items may be up to 20 characters in length. The Traceability Item Status may be set to Inactive when it is no longer needed.
OK: Select this button to return to the prior dialog box or window and keep any changes made to the Traceability Field Name or Status fields.
Cancel: Select this button to return to the prior dialog box or window and discard any changes made to the Traceability Field Name or Status fields.
Note: Changes made in the Define Traceability Codes dialog box are kept or discarded upon exiting that dialog box.
